How registrations reach your roster
With individual online registration, signing up does not put a wrestler in your event. Registrations wait in a holding area, the Registrations page, until you bring them across to the Roster. Only the roster feeds weigh-ins, brackets, and matches.
Why there is a holding area
Section titled “Why there is a holding area”You decide when the roster changes. A family registering at midnight before the event does not drop a new wrestler into a bracket you already built, and a parent fixing their child’s weight does not quietly move them in a weight class you already paired.
You also see every family’s change before it lands. And bringing registrations across is safe to repeat. It only moves what has changed since last time, so run it as often as you like.
Only confirmed entries come across. A checkout that is still in progress shows as Unconfirmed and waits until it is paid.
Entries you make yourself skip the wait. A walk-up, or a wrestler you add on the Roster page while individual registration is on, is still a registration, but it goes straight onto the roster when you save it. If the division doesn’t fit them, like a kid too old for 10U or a boy in a girls division, Snapdown says why and asks before it saves. Choose Enter anyway and it remembers that for their registration, so you aren’t asked again.
Bringing registrations across
Section titled “Bringing registrations across”On Registrations, Update Roster carries a badge with the number of registration changes waiting. On Roster, a banner says how many changes aren’t on the roster yet, with a Review changes button. The gear menu on Roster also has Update from Registrations. They all open the same review.
The first time, the review is a short list of wrestlers to add, grouped by division. After that it sorts entries into adds, changes, removals, and anything that needs your decision. See Review registration changes before updating the roster for how to work through it.
Once an entry is on the roster, its row on Registrations shows In Event, or Scratched if the wrestler has been scratched from that division.
Brackets keeps a to-do bar at the top of the page: new registrations, registration changes, and decisions waiting in the review, plus brackets that changed since Build. Tap one to jump to it. The bar disappears when there’s nothing left. Wrestlers who still need a bracket are listed under Unassigned Wrestlers.
Late entries and corrections
Section titled “Late entries and corrections”Run the update again whenever new online entries arrive. It also picks up changes a family makes to an entry that’s already on the roster, like a parent updating their child’s weight, and entries that were cancelled or refunded some way other than the steps below, which it offers to take off the roster.
A returning wrestler, one you refunded or withdrew who then registered again, comes across like any other change, marked Returning to [division]. Applying it brings back their old entry in that division, and any earlier refund stands.
Scratches don’t show up in Update Roster. Who competes is your call, not a registration change, so there’s nothing to sync.
Your own changes go through right away
Section titled “Your own changes go through right away”When you fix an entry that’s already on the roster with Edit registration details, saving updates the roster too. The wrestler’s name, birth date, gender, team, grade, and weight also carry to their other registrations, so two divisions never disagree. It works the other way as well: Edit Wrestler Info on the Roster saves those details to their registrations.
Moving a wrestler to another division moves their registration with them, whether you use Move to another division on Registrations or the Roster, Change Division for several wrestlers on the Roster, or move them into another division’s bracket on Brackets. If a move on Registrations would pull a bracketed wrestler out of their bracket, Snapdown asks once. Move, choose bracket later makes the move, and they’ll need a bracket in the new division. A division whose rules don’t fit them asks the same Enter anyway question as a new entry. Once they’ve wrestled in a division, they can’t be moved out of it; their results stay there.
Each registration’s View history shows what changed. A division change reads Division changed, with the old and new division, and a scratch reads like “Withdrawn from Girls 10U (No-Show)”.
Before you build or publish
Section titled “Before you build or publish”Brackets and Match Publishing check for waiting changes before they build or update anything. Review changes opens the review, and when the roster is up to date you can carry on. Continue without updating goes ahead with the roster as it is, and Snapdown won’t ask again until something else changes. Use it only when the waiting entries really are out of scope.
Taking a wrestler out: start from the registration
Section titled “Taking a wrestler out: start from the registration”When an entry needs to come out, act on the registration itself, using the three-dot menu on its Registrations row. That keeps the money, the registration, and the roster in step. Snapdown asks once what should happen on the roster, and that change is saved together with the refund or withdrawal. Nothing waits for the next roster update.
Each registration is one wrestler in one division. Refunding or withdrawing it can take the wrestler out of that division only. If it was their last division, they are scratched from the event.
Refund
Section titled “Refund”Refund payment opens a dialog listing every entry on that order. Tap the entries you are refunding. For a wrestler on the roster who hasn’t wrestled in that division yet, the refund withdraws them from it by default. If they should keep competing, choose Keep [name] wrestling instead. For one who has already wrestled, it’s the other way around: the refund leaves them in unless you choose Withdraw [name] instead. The bottom of the dialog sums up the money and what happens to each wrestler before you confirm.
The registration becomes Refunded, and the money goes back to the original payment method. Only the tournament registration amount is refundable. See Refunds and event cancellations. If your payout has already been sent, the menu shows Refund after payout — contact Snapdown instead.
Withdraw without a refund
Section titled “Withdraw without a refund”Withdraw — no refund marks the entry Withdrawn by admin. If the wrestler is on the roster, it takes them out of that division too: the dialog names the division, and Withdraw confirms. Their other divisions stay as they are. To give the money back and keep them wrestling, use Refund payment and choose Keep [name] wrestling instead.
An Unconfirmed entry offers Withdraw registration instead. It was never on the roster, so nothing else changes.
A refunded or withdrawn entry still counts toward Snapdown’s per-entry fee if it was ever paid or the wrestler has wrestled in that division.
What happens to the bracket
Section titled “What happens to the bracket”If the wrestler was in a bracket, their spot becomes a bye and the opponent moves on. If the bracket could now use a smaller format, Snapdown offers to shrink it, which takes effect the next time you build.
Once they have wrestled
Section titled “Once they have wrestled”If the wrestler already has a started or finished bout in that division, their results stand either way. Withdrawing them from the division turns their remaining bouts there into forfeits, and their opponents advance. Keeping them in changes only the registration. If one of their bouts is on a mat right now, let it finish before you withdraw them. See Withdraw an injured wrestler.
If Update Roster asks about them later, Keep on roster leaves them in, and Withdraw from [division] forfeits what’s left.
Scratches made on the Roster
Section titled “Scratches made on the Roster”Scratching a wrestler on the Roster, Weigh-ins, or Brackets doesn’t touch their registration or payment. A scratch is per division, so a kid entered in two divisions can be scratched from one and keep wrestling in the other. It’s noted in that registration’s activity, and the entry shows Scratched on Registrations.
Undo a withdrawal or refund
Section titled “Undo a withdrawal or refund”Withdrew or refunded the wrong entry? Choose Reinstate from its menu. Use the Admin withdrawn or Refunded status filter to find it.
- A paid entry you withdrew goes back to Confirmed.
- A refunded entry stays Refunded. The refund is not reversed, and the wrestler competes without paying.
- Either way, if they were scratched, the scratch is undone.
Brackets are not restored. Their spot already became a bye, so they come back in that division without a bracket. Pick one for them on Brackets.
You also cannot reinstate a withdrawn Unconfirmed entry, or a withdrawn entry when the family has since registered the same wrestler in that division again.
Undo Scratch on the Roster works the same way from the other end, one division at a time. When an event admin uses it, it also reinstates the registration behind the scratch.
Team registration works differently
Section titled “Team registration works differently”When teams register, the paid entry is the team and its coach maintains the roster under it. See Register a team and manage its event roster.
