Import league rosters

League rosters are imported once per season, per team. After that, every event selects from these wrestlers rather than re-importing them.

Import into the league before creating fixed attendance lists for its events. The league roster is the master record; an event roster is the selection for one competition.

These are different tools and it matters:

Import one team’s roster

You can import one team from its team page or use the league-wide importer.

1. Open League Admin, then Teams.
2. Open the team and choose Import spreadsheet from the team settings, or choose Import Rosters on the Teams page.
3. Download a template or choose an existing .csv, .xlsx, or .xls file.
4. If the file contains one team without a Team column, select its destination team during review.
5. Review the proposed column mapping. First name and last name must be mapped; other requirements depend on the league settings.
6. Review the preview, including new wrestlers, updates, unchanged rows, and errors.
7. Choose Import and review the result for that team.

The preview warns about very young, older, invalid, or future dates of birth. Those age warnings do not block the import, but missing league-required fields do.

Import several teams at once

From the league Teams page, choose Import Rosters. Snapdown provides two starting templates:

• One sheet, team column keeps every wrestler together and requires a Team value on each row.
• One tab per team uses each worksheet name as its team, so the roster rows do not need a Team column.

Both templates are generated with the league’s current team names. A combined sheet is convenient when one person maintains the whole league. Team tabs are easier when a shared workbook is distributed to several coaches.

After upload, review each source team. A source can be mapped to an existing league team, used to create a new team, or skipped. Snapdown does not silently create an unmatched league team.

Next, review the global column mapping and the grouped preview. The preview shows totals for new, updated, unchanged, and invalid rows before any roster is changed.

Updating a roster mid-season

Importing another row can add a wrestler or update an existing league wrestler. The preview identifies which fields will change, so check an unexpected update before committing it.

An event keeps its own competition roster. A new league wrestler is not added to every existing event automatically, and changing the league roster does not rebuild brackets or replace a published schedule. Add the wrestler to the applicable event, then rebuild and publish only the affected competition work.

When an existing league wrestler is already in an event, Snapdown can refresh stale profile fields from the master roster during event preparation. A recorded weigh-in remains event-specific and is not replaced by a later roster weight.

Moving a wrestler between permanent league teams is an administrative roster change. Splitting a team only for one event should use event-team assignments instead. See Select wrestlers for a league event.

What not to change

League roster exports can include wrestler_id. It is the strongest link between a spreadsheet row and an existing Snapdown wrestler.

• Do not edit, replace, or invent a wrestler_id.
• Keep it when updating a wrestler from an exported roster.
• Delete the entire row when the wrestler should not be included in a later event selection.

The league importer can also match roster rows by team and identity fields, but an unchanged wrestler ID avoids ambiguity when names are similar.

Resolve import errors

If a row is rejected:

1. Check that first name and last name are mapped.
2. Check the league’s required DOB, grade, gender, USAW ID, and rank settings.
3. Check for the same wrestler appearing twice in the workbook.
4. Confirm that a roster tab or Team value maps to the intended league team.
5. Correct the workbook and import it again. Clean teams can still be processed separately if another team needs more work.
