Add event staff and permissions

You do not run an event alone. Snapdown grants access per event, so a table worker at one tournament is not automatically an administrator at the next.

Staff live at the bottom of Event Configuration, in the Event Staff section.

Each permission is granted independently:

Permission What it allows
Admin Manage the event
Score Score matches at a table
Weigh-In Run weigh-ins

Someone can hold one, two, or all three, and everyone needs at least one. Table workers usually need Score only. Weigh-in volunteers usually need Weigh-In only.

Admin already includes the other two. Someone with Admin can score matches and run weigh-ins without holding those permissions separately, so there is no need to tick all three for your co-director.

Grant the narrowest permission that lets the person do the job. That is not bureaucracy — an accidental admin can change a bracket mid-event.

The + button in the Event Staff header opens Add Event Staff.

Type an email and pick the person from the results. You can add several people in one pass, and then set each person’s permissions in the table before saving.

Each row shows a status:

  • Existing — they already have a Snapdown account and simply gain access
  • Will invite — no account yet, so Snapdown emails them an invitation and grants the access at the same time

So you do not need anyone standing next to you, and they do not need to have signed up first. Add the whole crew from your kitchen table a week out, rather than at 7am on event day with a weigh-in queue already forming.

Everyone needs at least one permission ticked before you can save.

For a club running the same crew twelve times a season, retyping the list twelve times is the wrong answer.

The copy icon in the Event Staff header copies your whole staff list to the clipboard, each person tagged with the permissions they hold. Snapdown confirms with “n staff members copied with permissions”.

Open the next event, hit +, and paste into the email field. The whole crew is added at once with their permissions already set. Adjust anything that differs and save.

The clipboard text is readable, so you can keep it in a note and reuse it all season rather than copying from the previous event each time.

Same as adding one at a time: anyone in the list without an account is invited.

The menu on any staff row gives you Edit Permissions and Remove Staff Member.

The event owner is marked with an Owner badge and cannot be removed from their own event.

If your event belongs to a league, every league administrator has full admin access to it automatically. They will not appear in the Event Staff list, and you do not need to add them — the access comes from the league, not from this screen.

So the staff list is not the complete list of people who can change your event. For a league event, it is the staff list plus the league’s administrators. Event Staff is for granting access to people who are not league administrators.

This does not apply to standalone tournaments. An event that does not belong to a league has no inherited access at all — the staff list is the whole list.

The two are managed in different places: event staff here, league administrators on the league’s own admin screen. Event permissions only ever apply to the single event you set them in, so a table worker at one tournament is not a table worker at the next one.
