Add wrestlers to a standalone event

Standalone events use Snapdown Registration or director-managed roster entry. Choose the intake workflow before building competition so entries retain a clear registration and billing source.

Direct event-roster import is unavailable during individual registration. An administrator can still add a manual entry through the registration-aware form; Snapdown creates a registration record so payment status, questions, waivers, and entry history remain connected.

Team registration is different: the registration and billing unit is the team. After the team entry is confirmed, the director or authorized coach can maintain or import its wrestlers without charging each wrestler separately. A team-mode roster import must name teams already on the event; it cannot create new teams.

For a registered team, the coach can manage its event roster. The director manages coach access and deadlines under Roster → Teams.

The roster importer accepts CSV and Excel workbooks. Start with Snapdown’s event-aware template or bring an existing file. Before anything is saved, the review separates three decisions: which workbook tabs contain rosters, how columns map to Snapdown fields, and which wrestlers or event structure will be created or changed.

Treat that review as the important part of the workflow. Confirm the team and division destinations, the participating wrestler count, any new names or weight classes, and the columns that will be skipped. After import, verify the event roster before weigh-ins or bracket creation.

During team registration, every imported row must resolve to an existing event team. Register or add a missing team before importing its wrestlers.

The template is a starting point, not a file requirement. Snapdown can analyze existing workbooks, ignore instruction or summary tabs, and let you correct the mapping before anything is imported.

Snapdown recommends a minimal template using the event’s competition format and current divisions. Expand Other template layouts if another collection workflow fits better.

For team-dual events, the recommended workbook contains one tab per team. When teams have already been added to the event, Snapdown names the tabs for those teams automatically.

Each team tab needs only:

first_name,last_name,weight_class

The tab name supplies the team. This layout works well as a shared Google Sheet: each coach fills out the tab for their team, then the tournament director downloads the completed workbook and imports it once.

If coaches send separate files instead, use a combined-roster template and include the team on every row:

first_name,last_name,team,weight_class

For a tournament with one division, the recommended combined roster contains:

first_name,last_name,dob,team,division,weight_class

The division is prefilled when the event has one configured user-facing division. Events using only the system/default division omit that column.

When an event has multiple divisions, Snapdown recommends one tab per division. The division tab name supplies the division, while each row still includes DOB, team, and weight class.

Standalone auto-matchup events use actual weight rather than a predefined weight class and include the attributes used to make appropriate groups:

first_name,last_name,dob,team,weight,gender,rank

DOB supports age grouping, gender supports compatibility rules, and rank provides skill context. Grade can also be imported when the event uses it. Multi-division auto-matchup events recommend one tab per division while keeping these wrestler details on every tab.

Mixed events include both weight and weight_class in the recommended workbook. Review the preview carefully because different divisions may use different competition styles.

  • One combined roster keeps every wrestler on one worksheet. Include a team column and, for multi-division events, a division column.
  • One tab per team lets the tab name supply the team. It is usually the best shared-workbook workflow for team duals.
  • One tab per division lets the tab name supply the division. It works well when entries are already separated by age group or competition division.

If a workbook contains an explicit team or division column, verify that it agrees with the selected tab mapping during import.

First name and last name are required on every roster row. Team and division may come from columns or worksheet names. Depending on the event, you can also import:

  • date of birth;
  • actual weight;
  • gender and grade;
  • rank or skill level;
  • seed;
  • USA Wrestling ID;
  • scoring status; and
  • mixed-gender eligibility.

Leave optional cells empty when the event does not use that information. You do not need to fill every column supported by the importer.

If another system has already assigned final seed numbers, import them through the Seed field. If coaches are supplying the records, placements, points, or qualifications Snapdown should use to calculate seeds, first define the event’s criteria and map those factual columns during import. After import, confirm that:

  • every wrestler is assigned to the intended team;
  • the event has the expected divisions and weight classes;
  • wrestlers without a weight class were intentionally included or skipped; and
  • duplicate or misspelled team names were not created.

Make roster corrections before publishing brackets whenever possible. Small changes can be made from the Roster page after import.
